Stop re-typing data between tools — connect them so the work moves by itself

Forms, CRM, email, notifications, approvals and data sync, connected and automated. The outcome is the point; n8n, Make, Zapier or code is how we get there.

Direct LATYNEX delivery

Direct answer

Most businesses run on a handful of tools that do not talk to each other, so people copy information between them. That is where errors, delays and lost enquiries come from. Workflow automation and systems integration connects those tools so that a form submission becomes a CRM record, a signed proposal creates the next task, an approval reaches the right person, and a change in one system appears in the other — with failures visible rather than silent.

We start from the business outcome — for example, every enquiry has an owner within minutes — and choose the tooling afterwards.

Which tools

n8n, Make and Zapier are the usual platforms, alongside direct webhooks and API integrations. Each has strengths: hosted no-code platforms suit simple, low-volume flows; n8n suits more complex logic and self-hosting; custom code suits anything that has outgrown a visual builder. See n8n vs Make for Lead Automation and Custom Automation vs Zapier for how we think about the choice.

A practical first engagement: Automation Sprint — One Business Workflow

For one repetitive process that costs your team time every week — for example moving website enquiries into a CRM and notifying the right person. One workflow, not unlimited automation. €1,690 fixed price for the standard scope below, net of VAT treatment that depends on your location. A short scoping conversation comes first; there is no separate discovery fee.

Need something larger? We also scope custom implementations — this package is an entry route, not the maximum project size.

  • Package: Automation Sprint — One Business Workflow — €1,690 fixed.
  • Included: One clearly defined business workflow; Up to three systems / services; One primary workflow path with reasonable branching; Implementation and testing; Error handling appropriate to the scope; Handoff documentation.
  • Key scope limit: One workflow with one primary path, across up to three systems or services.
  • Not included: Subscriptions and licences of the connected tools; Additional workflows — another sprint or a custom quote; Major custom APIs, large data migrations or complex multi-system orchestration — custom quote.
  • Anything materially outside the standard scope is quoted separately rather than absorbed.

What this covers

  • Web forms and enquiry channels flowing into a CRM as complete, de-duplicated records
  • Email automation: acknowledgements, follow-ups, internal alerts
  • Notifications to the right person in the right channel — email, Slack or another tool your team already uses
  • Approval flows — a request goes to an approver, waits, and is either done or escalated, with a record
  • Data sync between systems that hold the same customer or order
  • Scheduled and event-driven jobs: reports, reminders, clean-ups
  • Webhooks and API connections to systems that do not have a ready-made connector
  • Error handling: retries, alerts, and a place where failed runs are visible
  • Documentation of every automation: what it does, what it touches, who owns it

Automation with a human in the loop

Not every step should run unattended. Where an automation touches money, contracts or customer commitments, we build in an approval step and a clear record of who approved what. See AI Human Handoff and AI Agent vs Workflow Automation.

Where this leads

A connected set of workflows is often the base for AI Operations, where the workflow includes reading messages, extracting information and moving cases forward under supervision. If you are also working on your CRM, CRM & Sales Workflow Implementation is the natural companion.

Limits

We will not automate a process that is unclear; we will help document it first. We do not promise specific hours saved. And we tell you when a single simple automation is all you need, rather than proposing a platform.

How it works

  1. 1

    Inspect

We look at what you actually have today — accounts, roles, tools, data, who uses what — read-only where the system allows it, before anyone proposes changing anything.

  2. 2

    Understand the current setup

What works, what is duplicated, what is unowned, and where work leaks between tools. You get this in writing, in plain language.

  3. 3

    Implementation plan

A scoped plan with clear boundaries: what gets configured, what stays as is, what is deliberately left out, and what needs a decision from you first. Scope and price are agreed in writing before configuration starts.

  4. 4

    Configure

The plan is carried out inside your own accounts, through access you grant and can withdraw. Changes that touch people, money or customer data wait for your explicit approval.

  5. 5

    Handoff

Documentation of what was set up and why, a short walkthrough for the people who will run it, and a clear line on what is yours to operate from now on.

Is this the right page?

  1. 1 Assess
  2. 2 Implement
  3. 3 Automate
  4. 4 Build

Choose this page if work is being re-typed between tools and you want it connected, whichever platform does it best.

What usually comes next

Not a package — only where it makes sense once this is done.

Questions

Do we have to choose between n8n, Make and Zapier?+

No. We recommend what fits the volume, complexity and hosting requirements, and we can also use direct integrations or custom code where a no-code platform is not enough.

Can you fix automations we already have?+

Yes. Inspection includes existing flows: what they do, where they fail silently, and who owns them.

What happens when an automation fails?+

Failures are designed for. Runs are retried where that is safe, alerts go to a named person, and failed runs are visible instead of silently dropped.

Can approvals be part of the flow?+

Yes. Approval steps, escalation and an audit trail are standard where a step involves money, contracts or customer commitments.

Who owns the automations afterwards?+

You do. They live in your accounts, they are documented, and you are not dependent on us to keep them running.
