Zapier or custom automation? An honest answer

LATYNEX Digital · Published 10 Sept 2026

Zapier is genuinely the right call for a lot of businesses. Here's exactly where it stops being one.

Where Zapier genuinely wins

For connecting standard SaaS tools with a fixed, simple rule — a new form entry creates a row in a spreadsheet, a new sale posts a Slack message — Zapier is fast to set up, cheap at low volume, and doesn't need anyone who can code. If that describes your actual need, custom automation would be over-engineering.

Where it starts to break

Zapier's per-task pricing gets expensive at real volume, its logic branches awkwardly once a workflow needs more than a couple of conditional steps, and it has no way to exercise judgment — deciding whether an inbound message is a genuine lead, for instance, isn't something a Zap can do on its own. See AI Agent vs Workflow Automation for that judgment-vs-rules distinction in general.

The maintenance question nobody asks upfront

A chain of Zaps that started simple tends to grow — a new edge case gets a new filter step, then another — until someone on the team has quietly become the person who keeps it from breaking. Custom automation, built once around the actual process rather than bolted on step by step, doesn't have that same slow-accumulation problem.

This isn't a vendor rivalry

See Integrations for how LATYNEX actually uses automation platforms like n8n and Make as the bridge for the flows that genuinely are simple and rule-based — the point isn't that Zapier or Zapier-style tools are bad, it's that the same tool isn't right for every job.

Questions

Is LATYNEX saying Zapier is bad?+

No — it's genuinely the right tool for a lot of simple, standard-tool automation. This page is about the specific point where it stops being the right tool, not a case against it generally.

Can Zapier and custom automation work together?+

Yes — a common pattern is Zapier (or a similar platform) handling the simple, rule-based flows while a custom AI layer handles the judgment calls, feeding into the same systems.

Does moving off Zapier mean rebuilding everything?+

Not necessarily — only the flows that have genuinely outgrown it need to move; simple ones can stay exactly as they are.

How do I know which category my automation is in?+

If the honest answer to "is this lead a fit" or "which team should see this" requires judgment, not just a fixed rule, that's the signal — a Revenue Audit reviews your actual flows and tells you which is which.
